Here is today's email:
*******************
Good morning everyone,
Here are today's updates:
1)The Girls Division Schedule is now online in the UPA's Score Report Tool. Please look it over and let me know if you see any mistakes. You should be comparing it to the schedule that's posted on the competition schedule page.
2) There are around 700 players, coaches, and chaperones coming into town this weekend. That's a whole lot of paperwork. Last year I made it to a 98% completion rate. This year I want to make it to 100%. So, please make sure you are on top of all of your chaperone waiver forms, player waiver forms, and player dues. All outstanding paperwork should be handed off to a tournament director at the captains meeting. Remember that all teams must hand in chaperone waiver forms, even if you are 100% sure you have sent them in already. Note: If we find you playing with an unrostered player, you and your team will be asked to leave. Immediately. We will be checking on this.
3) Dinner was paid for several weeks ago. At this point I am unable to change our order, so I am therefore unable to give a refund on unused dinner tickets. Sorry.
4) The weather for this weekend looks really, really, great! Again, that being said, this is northern Vermont, so really weird stuff can happen. Be prepared.
5) Some teams have still not filled out the cell phone contact list form. Do this. Now.
6) The sidelines must stay clear. Tents, chairs, and other gear must stay as far away from the sidelines as possible. We will have people walking around all weekend making sure the sidelines stay clear. I take this very seriously. If you don't, think on this: In 2005 a player at college nationals dove for a disc, landed out of bounds on a folding chair, and punctured his lung.
7) It is very important that at least two adult chaperones stay with your team at all times. If one of your players has to go to the hospital, an adult must go with them, and one needs to stay with your team. If you only have one adult and one of your players has to go to the hospital, your whole team has to go to the hospital.
8) Remember that everyone is invited to the dinner/dance/trade night (6-10pm, SJA), even if you're not eating dinner. There is lots going on including: a massive dance, bouncy castle, bouncy obstacle course, video games, trading tables, adult-only chill out room, all tournament photo (7:30pm), and a general sense of wonder. It's going to be a great time.
See you soon!
- Seamon

Here is the 5/20 Update email:
**************************
Hello everyone,
The St. Johnsbury Academy Ultimate community is humming with excitement about this weekend! We hope you are too!
Here's today's update:
Make sure you find me a some point during the weekend to say hi! I have met many of you in person, but there are still lots of you out there that I only know by email address. So.... track me down and say hi! I'll be coaching the St. Johnsbury Boys. I'll also be bouncing around the dinner/dance/trade night.
1) There is no required check in on Friday night. If you have paperwork to hand off to me, you can do that on Friday night, but you can also wait until Saturday morning. There is so little paperwork to collect, that it's not a big deal if you hand it to me on Saturday morning. Congrats on doing a GREAT job with all of the paperwork!
2) When you arrive on campus (to hand off paperwork, say hi, etc.), or when you arrive at your hosts house, give me a call to let me know you made it in okay (802.748.9857). You can also text me if you'd prefer.
3) MAKE SURE YOU BRING YOUR MEDICAL AUTHORIZATION FORMS. You MUST have these forms on hand during the entire tournament. You must have one of these forms for every single one of your players. Make sure you are familiar with the housing page on the website.
4) Make sure you bring a bunch of great gifts for your hosts. They are opening up their homes to you... and while we are all amazing teams, it is a large imposition. So, make your gifts count. Make them meaningful.
5) Make sure you bring a chaperone waiver form for each of your chaperones. (This is the #1 form that teams forget to send into the UPA. I would love to reach 100% completion this year!)
6) In the team boxes we will provide: bagels for both days, pretzels, bananas, oranges, and PB&J sandwiches.
At the Tournament Central tent: A bagel bar for your bagels with Nutella, Peanut butter and jelly, chocolate mini-bars, Sunscreen, bread for more sandwiches.
7) The ONLY full meal we are providing is the Saturday night dinner. All other meals are the responsibility of each team.
8) There will be a limited number of dinner tickets available for sale during the day on Saturday. You can purchase extra tickets for $7 each from the tournament directors. Checks should be made out to St. Johnsbury Academy. Cash is also okay.
9) There will be tables set up at the Saturday night social event for people to use as a base for jersey and gear trading.
10) There is a rather large army of volunteers that makes this event happen. Make sure to thank them as you see them during the course of the weekend.
11) Please make sure you use the porto-potties and NOT the woods. If you are caught in the woods, you and YOUR WHOLE team will be booted from the event. Seriously.
12) Some of you still have a few players that are missing waivers and/or have not paid their UPA dues. Please make sure that you bring ALL of their missing materials and hand them off on Saturday to a tournament director.
13) Remember that EVERYONE is invited to the Saturday night dinner/dance/trade night, even if you're not eating dinner. It should be way too much fun. 600 HS Ultimate players in one place? You know you want to see that.
Okay, that's all for today.
More tomorrow.
- Seamon

This email was just sent out to the tournament list.
Here are the three documents referenced in the email:
Chaperone Waiver Form
(Player) Waiver Form
Captains Meeting Notes
**************************
Hello everyone,
I hope you are all as excited as I am about this weekend!
Here are some important items for you to go over:
1) If you have not made contact with your hosts, please do so immediately. All of the information you need to communicate to your hosts is outlined on the housing page.
2) Even if you are 100% sure you have sent one in, all teams need to bring a Chaperone Waiver Form for each and every one of their chaperones. The form is attached.
3) The captains meeting notes are attached. Please read them. At the captain's meeting on Saturday morning I will only be going over the really important points. The meeting will take less than 5 minutes. All teams need to be at the captain's meeting. (Yes, even if you have a first round bye.) The captains meetings will be held at 8am on Saturday at SJA (girls) and LI (open) at tournament central. Be early. The meeting will start on time and it is a very bad thing if your team does not have a representative present.
4) The Open Division Schedule is now online in the UPA score reporter. I would appreciate it if some of you looked it over and let me know if I made any mistakes. The finalized schedule you should be comparing it to is posted and explained on the competition schedule page of the tournament website. The Girls Division Schedule will be online in the UPA score reporter in the next couple days.
5) Here is everyone's roster status along with how many dinner spots each team has paid for. If you have a player who is listed as NOT good to go who you plan on bringing with you, make sure you bring their outstanding materials with you to the tournament. We will collect them BEFORE your first game. The UPA waiver is attached. UPA youth membership costs $20. Checks should be made out to the UPA. Cash will not be accepted for membership fees. If you would like to purchase more dinner spots, let me know. A limited number of spots will be available for purchase at the dinner, so it helps if you can pre-order. Cash will be accepted for dinner spots. ($7 per ticket)
