SJAI2012 - 021412 Update Email
The following email was sent out to all invited teams on Saturday, 2/14:

*******************************************

Congratulations! Your team has been invited to participate in the 2012 St. Johnsbury Academy Invitational.

Here's what you need to do:

1) Fill out the online bid acceptance form ASAP. The first team to fill out the form will get a free disc courtesy of the last team that fills out the form.

2) Make sure you are very familiar with all of the information on the Registration Paperwork page.

3) Make sure you are very familiar with the "How to create an online roster" document.

4) If you have not done so already, send in the $400 tournament fee check ASAP. (The check should be made out to St. Johnsbury Academy and sent to Josh Seamon, SJAI2012, 1000 Main St., St. Johnsbury, VT 05819)

Tournament Updates:

With 16 girls teams and 40 open teams, the 2012 St. Johnsbury Invite will be the largest to date. I'm projecting around 900 players and 200 coaches will be in attendance. At least 168 games will be played across 23 fields.

Every team will play at least 6 games.

The girls division will be broken into A and B divisions of 8 teams each, with cross-over games at the end of pool play on Saturday between the two divisions. Every girls team will have the ability to win either division. The open division will be divided into A, B, and C divisions of 16, 16, and 8 teams respectively. There will be cross-over games at the end of pool play on Saturday between the A and B divisions. There will also most likely be cross-over games between the B and C divisions. This mean that if you start in the A division that you'll be able to win the A or B divisions. If you start in the B division you will be able to win any of the three divisions, and if you start in the C division you'll be able to win the B or C divisions.

Teams will be placed into divisions based on their USA Ultimate RRI ranking on May 7th. Please report all of your games to USA Ultimate's score reporter system: http://scores.usaultimate.org/

Breakmark will be returning to provide an amazing array of tournament gear. Additionally, Five and Savage will be contributing items to team packs.

The Saturday night dinner-dance-trade event is shaping up to be even more spectacular than ever before. In addition to renting even more lighting and sound equipment for the dance, I am trying to pull in a fourth bouncy structure to augment the three bouncy castles that will be returning.

We will also be running a dance on Friday night for the St. Johnsbury Academy community and any teams that arrive that night. We'll be in the same location using the same equipment as the Saturday night dance, so the event will be well worth attending if you're in town. The exact time has not been set, but it's likely the event will run from 7 to 10pm. The dance will cost $1 for players participating in the tournament.

In the 7 years we have hosted the St. Johnsbury Invite, we have always been able to provide free housing to every team that has made the request. This year, due to the extreme number of teams requesting housing (40+), we are not going to be able to gaurantee free housing for every team. That being said, we will do our absolute best to find housing for every team. Our goal is to make housing assignments by early-mid April.

An important message from the guy at the center of the logistics storm:

The St. Johnsbury Invite is one of the recurring highlights of my life. Putting it together each year is such a worthwhile endeavor because of all of the amazing teams that attend. You make the event so special and I adore seeing you all together in St. Johnsbury. From your spirited, competative intensity on the field, to the one of a kind explosion of fun that you make out of the Saturday night dinner-dance-trade event, I love seeing and experiencing it all.

The behind the scenes logistics are enormous. 50+ on the ground volunteers arrange everything from 56 team boxes, to setting up enormous tents and coordinating dinner for 1,000. My dance crew spends 3 days setting up and running a prefessional sound and lighting setup. In addition, 30+ local families open their homes and act as team hosts. In terms of paperwork, I have to make sure 56 teams complete online rosters, and arrange an NCSI background checked chaperone.

You can help all of these logisitical endeavors run as smoothly as possible by completing all of your paperwork on time or even early. Every year you do an phenominal job at getting everything done that needs to get done. (Last year, of 795 players on rosters, 791 had no outstanding items.)

So, please keep it up. Start your paperwork as early as you can and get it done and out of the way. It'll make my life so much easier.

Please let me know if you have any questions.
